What is a Meeting Scheduler (Availability Matrix)?
A Meeting Scheduler with an Availability Matrix lets you define which days of the week you have available and which time ranges within each day are free. You then set a meeting duration and optional buffer time, and the tool automatically generates a proposed weekly timetable that places meetings into your available slots while preserving the remaining time for focused work.
How do I enter my availability?
Your schedule is pre-filled with Monday-Friday 9 AM-12 PM and 1 PM-5 PM (lunch break). You can edit each time slot by changing the start and end times, remove slots with the trash icon, or add new slots by clicking "Add slot" for any day. Weekend days are hidden by default but can be toggled on via the "Show weekend days" link.
What do the buffer and duration settings do?
Meeting duration sets how long each meeting lasts (15 min to 2 hours). Buffer adds a gap after each meeting before the next one begins (0 to 30 minutes). For example, with 30-min meetings and a 5-min buffer, each meeting occupies 35 minutes of your schedule. Setting buffer to 0 enables back-to-back mode.
How does the scheduling algorithm work?
For each day, the scheduler sorts your time slots chronologically and calculates how many meetings fit into each slot based on the meeting duration and buffer. Meetings are placed sequentially starting from the beginning of each available block. The remaining time after placing meetings is preserved as contiguous focused work time.
What is the focused time ratio?
The focused time ratio is the percentage of your total available time that remains after scheduling all meetings. For example, if you have 40 hours of availability and schedule 12 hours of meetings (including buffers), your focused time ratio is 70%. A higher ratio means more time for uninterrupted deep work, creative thinking, and focused tasks.
Can I customise the meeting labels?
Currently, meetings are auto-labelled as "Meeting 1", "Meeting 2", etc. based on the order they are placed. The colour-coded blocks (Focus, Meeting, Deep Work, Admin, Planning, Review, etc.) help distinguish different types of sessions visually on the timetable.
Can I include weekends in my schedule?
Yes. Weekend days (Saturday and Sunday) are hidden by default, but you can toggle them on by clicking "Show weekend days" below the day list. You can also check "Include weekends" in the settings bar to have them counted in the schedule generation. Weekend days are visually dimmed to distinguish them from weekdays.
Is my data safe when using this scheduler?
Absolutely. The meeting scheduler runs entirely in your browser using JavaScript. Your availability, schedules, and proposed timetables are never sent to a server, stored externally, or processed remotely. All computation happens locally on your device. No accounts, no uploads, no tracking.
Can I export or copy my schedule?
Yes. After generating a schedule, click the "Copy Schedule" button to copy a formatted text version to your clipboard that includes the full weekly timetable, total meetings count, meeting time, available time, and focused time ratio.
